Your reception desk, without the queue.

VoxHive answers every call to your practice on the first ring, offers appointment slots from your actual availability, and takes the booking. It works while your receptionist is with a patient, at lunchtime, and at nine on a Sunday evening.

The problem

Somebody always has to wait.

There is a particular moment every practice knows. The phone rings while reception is checking in one patient, taking payment from another, and the nurse needs something. Somebody has to wait, and it is usually whoever is on the phone.

Patients who ring a practice rarely leave a voicemail. They are calling because they want an appointment, and if they do not get one they ring the next practice on the list. You never find out it happened.

The pattern repeats every lunchtime, every evening after close, and every weekend, in a business where a single new patient is worth years of recurring treatment.

A worked conversation

How a real call goes.

Agent

Good morning, Bramley Dental. You are through to our AI assistant. How can I help?

Caller

I need to book a check-up.

Agent

Of course. Have you been to us before?

Caller

Yes, about a year ago. Sarah Whitfield.

Agent

Thank you. A routine check-up takes thirty minutes. I have Tuesday the fifth at ten fifteen, or Thursday the seventh at nine o'clock. Would either suit?

Caller

Thursday morning is better.

Agent

Booked for Thursday the seventh at nine o'clock. Your reference is V H dash 7 K 2 X 4. Shall I text that to the number you are calling from?

Caller

Yes please.

Every answer here comes from documents the business uploaded. Where the agent does not have an answer, it says so.

What it handles

What the agent covers for a practice.

Appointment booking

Offers real slots from your diary, takes the booking, reads back a reference.

Cancellations and changes

Frees the slot immediately so it can be offered to the next caller.

Treatment prices

Quotes from your published price list, never from guesswork.

Opening hours

Including bank holidays and closures you have entered.

New patient enquiries

Takes details and books a first appointment.

Out of hours

Answers overnight and at weekends, or takes a message and emails you a summary.

Where a person is still better

An AI agent should not give clinical advice, and ours is configured not to. It will not assess symptoms, recommend treatment, or judge whether something is urgent.

For anything that sounds clinical, the agent takes the details and passes the caller to your team, or arranges a call back. During the day it can transfer live. Overnight it takes a message and flags it.

Practices in pain-emergency arrangements should keep their existing out-of-hours protocol. The agent can read that protocol to a caller, but it should not replace it.

Setup

What the first week looks like.

  1. 1

Upload your price list, opening hours and appointment types. Most practices already have these as a document.

  2. 2

Tell us your appointment durations and any gaps you need between them. Thirty minutes for a check-up, ten minutes after for notes.

  3. 3

We connect a phone number, or forward your existing one so nothing changes for patients.

  4. 4

You listen to the first calls, correct anything you disagree with, and the agent is right from the next call onwards.
