Every enquiry answered, without interrupting billable work.

VoxHive answers your main line, quotes your published fee scale, takes the details a new client enquiry needs and books the initial consultation. Nobody in the office stops what they are doing.

The problem

The switchboard interrupts the work you bill for.

A new client enquiry and a chargeable hour compete for the same person. One of them wins, and the enquiry is usually the one that loses, because it arrives without warning and the file in front of you has a deadline.

People shopping for a solicitor or an accountant ask about fees first. If nobody can answer that simple question when they ring, they ask the next firm on the list, and the enquiry never appears anywhere you would notice.

The same handful of questions repeat every week. What do you charge for a straightforward conveyance, what do you need from me, how long does it take. None of them need a qualified person, but all of them currently get one.

A worked conversation

How a real call goes.

Agent

Good morning, Aldridge and Cope. You are through to our AI assistant. How can I help?

Caller

I'm buying a house and I want to know what you charge.

Agent

Of course. Is it a freehold or a leasehold purchase, and do you have a rough price?

Caller

Freehold, about two hundred and eighty thousand.

Agent

For a freehold purchase at that value our fee is nine hundred and fifty pounds plus VAT, plus disbursements such as searches and Land Registry fees, which we set out in a written quote. I cannot advise on the transaction itself, but I can arrange for a solicitor to call you.

Caller

Yes, that would be helpful.

Agent

I have Thursday at eleven or Friday at two for a fifteen minute call. Which suits?

Caller

Friday at two.

Agent

Booked for Friday at two. Can I take your full name, email and a number, and I will send the written fee quote across today?

Every answer here comes from documents the business uploaded. Where the agent does not have an answer, it says so.

What it handles

What the agent covers for a firm.

New client enquiries

Captures the matter type and the details your fee earners need.

Published fees

Quotes your fee scale accurately, and names disbursements separately.

Consultations

Books an initial call or meeting from your real availability.

Document requests

Tells callers what to bring or send, from your own checklists.

Timescales and process

Explains what happens next, in your own published wording.

Out of hours

Answers after close and emails a summary of each enquiry.

Where a person is still better

The agent does not give legal, financial or tax advice, and it is configured not to try. It quotes fees, explains process and takes details. Anything approaching advice goes to a qualified person.

It will not discuss an existing matter. Live files involve privileged information and judgement, so callers asking about their own case are passed to the fee earner handling it.

It will not take instructions. Nothing a caller says to the agent commits your firm to acting, and the agent says so plainly if a caller tries.

Complaints go straight to a person, under your own complaints procedure.

Setup

What the first week looks like.

  1. 1

Upload your fee scale, your standard client checklists and the process notes you already send new clients.

  2. 2

Tell us which matter types you take, which you do not, and where each enquiry should be routed.

  3. 3

We connect a number, or forward your existing main line so nothing changes for clients.

  4. 4

You review the first transcripts, tighten anything you disagree with, and the agent answers correctly from the next call.

FAQ

Questions from professional services.

No. It is configured to quote fees, explain process and take details only. If a caller asks something that needs professional judgement, it says it cannot advise and arranges a call with a fee earner.
