AI Receptionist for Accountants & Professional Services
An AI Receptionist Built for UK Accountants & Professional Services
VoxHive answers incoming calls, handles routine enquiries, captures prospective-client details and supports configured appointment and callback workflows using your firm's approved information.
The problem
Client enquiries don't wait until you've finished the work in front of you.
Your team may be meeting a client, preparing accounts, working to a deadline or already handling another enquiry when the phone rings.
VoxHive provides an additional front-desk layer that can respond to routine calls, understand why someone is contacting the firm and capture useful information for your team.

Customer
I'm late with my self assessment. Can you take me on as a new client?
VoxHive
We can certainly look at that for you. I cannot advise on your return, but I can arrange for one of our accountants to call you back today. Could I take your name, a number and whether you are a sole trader or a limited company?
Example only. Live answers come from the information your business approves.

Enquiry types
The calls a practice line actually carries.
In a single morning a firm's line may carry a prospective client asking whether you take on limited companies, an existing client leaving a message for their manager, someone asking which services you provide, a request for an appointment or a callback, and a straightforward question about office hours or where to park.
VoxHive can be configured to recognise each of those reasons for calling, ask the questions your reception would ask, and route or record the enquiry to your instructions. Administrative questions such as how to send documents to the firm can be answered where you have supplied the procedure.
It does not look into individual client accounts, filings or records unless a connection to that system genuinely exists. Anything client-specific is captured as a message for the person responsible for that client.
New enquiries
Capture new enquiries consistently.
Prospective-client calls often arrive at the least convenient moment, and the detail captured varies with whoever picks up. VoxHive follows a single configured intake workflow every time.
That workflow can collect the caller's name and contact details, the type of entity or individual involved, the service they are asking about, their rough timing, and how and when they would like to be contacted, along with anything else your firm wants asked at first contact.
The enquiry is passed to your team as a request. VoxHive does not accept a client on the firm's behalf, agree a fee, or perform conflict or onboarding checks unless such a workflow has been specifically implemented for you.
Professional boundary
Administrative assistance, not financial or tax advice.
VoxHive is designed to support routine enquiry handling. It should not provide tax advice, accounting advice, investment advice or make professional decisions on behalf of your firm. Questions requiring professional judgement remain with appropriately qualified members of your team.
In practice that means it will not interpret a client's tax position, comment on allowable expenses, estimate a liability or suggest a course of action. It records the question and who is asking, so the right person can respond properly.
Appointments
Meeting and callback requests, handled honestly.
Where connected to your booking or scheduling system, appointment requests can be handled according to the rules and availability you configure.
Where no such connection is in place, VoxHive captures the request, the caller's preferred times and the reason for the meeting, and your team confirms it. No caller is told a meeting is in the diary when it is not.
Approved firm knowledge
Your firm's information. Not generic financial answers.
VoxHive is configured with the information your practice approves: the services you offer, office hours and locations, administrative procedures, general pricing information where you supply it, appointment instructions and your call-handling rules.
It answers within those limits. Where a caller asks something the approved information does not cover, it says the answer is not available to it and captures the enquiry for a qualified member of the firm rather than guessing.

FAQ
Common questions.
Can VoxHive answer calls when our accounting team is busy?
Yes. When your team is with a client, working to a deadline or already on another call, VoxHive can take the call, handle configured routine enquiries and capture anything that needs a person.
Can it capture prospective-client enquiries?
Yes. It follows a configured intake workflow to collect contact details, the service being asked about, entity type and preferred contact times. The enquiry is passed to your team as a request; VoxHive does not accept a client or agree a fee on the firm's behalf.
Can it answer questions about our services and fees?
It can answer using the service descriptions and general pricing information your firm has supplied. Where a fee depends on the client's circumstances, it explains that a member of the firm will confirm, and captures the enquiry.
Does VoxHive provide accounting or tax advice?
No. It handles administrative and routine enquiries only. It should not give tax, accounting or investment advice, interpret a client's position or make professional decisions. Those questions stay with appropriately qualified members of your team.
What happens if it doesn't know the answer?
It says the information is not available to it and captures the question with the caller's details for your team, rather than making something up.
Does VoxHive integrate with accounting or practice-management software?
Integration requirements depend on the systems your firm uses and the workflow required. We do not claim a named accounting or practice-management integration unless it is currently supported, so requirements are discussed during onboarding.
